2015 SAU-VIC Committee Elections

Location: Garage Cafe

Address: 221 Berkeley St, Carlton

Date Wednesday 17th of December 2014

Start 6:30PM

Meeting 8PM

Meeting End 9:00PM

The 2015 SAU Vic elections will be held via AGM at the December Club Meeting on Wednesday 17th of December 2014

At this meeting, the new Committee for 2015 will be elected the annual report and financial position of the club will be presented.

All Committee positions are up for voting and nomination.

However it will only be the Executive Committee who gets voted in on the night of the AGM.

The Executive committee will then pick the general committee as they see fit from the members who are nominated here.

Nominations can only be made by financial members of SAU-Vic.

If you would like to be involved on the Committee, please nominate yourself. If you think someone else would be great in a Committee role - please nominate them.

For a nomination to be valid it must be seconded by a current Club Member and the person must accept the nomination.

Don't be scared - this is a great way to get more involved with your club. The Committee is currently structured as such:

Executive Committee roles:

President

Vice President

Secretary

Treasurer

General Committee roles:

Social Events

Motorsport Events

Again, this is a great way to be a part of your club. All current financial members are eligible.

All committee members have to stand down and be re-nominated and re-elected - so everyone has the ability to be involved.

Please post any queries or nominations in this thread.

Role Descriptions

Executive Committee roles:

President

This is the clubs leader. This person is responsible for the clubs "public" face appearance.

Their responsibility is to ensure the club is heading and following the direction that the members want.

They should also show good leadership examples to other committee members and delegate tasks to the general committee.

The President should endevour to run all of the monthly general meetings.

Vice President

This is the clubs second in command role. This person is responsible for day to day running of the various "departments" of the club.

They act as a fill in for when the President is absent from meeting, events and other appearances.

They also cover any absences for any decision making requirements and processes.

Secretary

Responsible for all club mail, notices, memberships, member enquiries, member questions and bulletins.

The secretary should also track our various club affiliation agreements (insurance etc) and ensure all of the club information is up to date and correct.

The secretary should also handle all memberships’ add/changes/deletes

Treasurer

The treasurer is responsible for the clubs trading funds and bankroll.

It is their responsibility to ensure funds for events, purchases, stock, merchandise, deposits etc is handled correctly.

All money transfers, transactions, purchases need to be logged and recorded for our regular balance checks and yearly reviews.

This person has direct access to the SAU bank account and financial data.

This person is called upon also when cross planning events and new ideas to ensure adequate funds and capacity is available.

As we are non profit car club this role is very important and all steps must be taken to protect the clubs money.

Speaking on behalf of the committee, we want to see the club continue to provide an avenue for like minded social events and motorsport. 2014 has been a real challenge, our primary motorsport venue became unavailable to us, our partners for track (time attack/sprint) events made a decision to align to Porches Vic as a result attendance at the events was less then desirable. In light of these hurdles, club member attendance at circuit events was almost at a club all time high. We have to thank Squires Loft - Nunawading for providing excellent food during the track season, providing a great social avenue at the events. The club offered members a 3 track gokart challenge this year, from the feedback from members who attended the days were great value and good fun. We'd like to see more members getting involved in the gokart challenge for 2015! Going on a drive down the coast of through the hills doesn't seem to appeal to many members these days, we did however run a few events that offered a nice drive, followed by a social lunch. We need more feedback on what you want to see from that club in this respect moving forward.

For 2015 we have many thoughts for events and activities. They include:

Wilby short course track days

Winton track days (in conjunction with another smaller club eg 86 Club Vic, MelbS15, EvoOz)

Broadford track days (in conjunction with another smaller club eg 86 Club Vic, MelbS15, EvoOz), Matt at AASA is investigating insurance for 2015

We will be looking carefully at which track days to include for the 2015 championship

I nominate everybody that's currently on the committee as it's a sexy bunch of people who get stuff done!

Also I nominate Amanda. Possibly as treasurer? Smart, enthusiastic and has finance industry experience and background. Also likes beer, beer is good :P

I nominate as follows:

Richo - pres

Dan - VP

I am happy to stay on as secretary so will accept that nomination.

Treasurer- not sure. Tony does a good job but if he doesn't have time anymore it's not fair to expect him to do it. If Amanda knows how to do the financial reports etc I'd be happy to have her on board.

Events:

Tony O

Oscar

i think time moving forward is limited to just preparing Financial reports and the odd thing here or there. So happy to do that 'niche' position if required and the 'Treasurer' can handle all the banking.

Akin to a book keeper/Accountant relationship.

Happy with whatever :)

Yeah don't need to be an accountant to be a treasurer. You do need to follow decent process though of keeping/tracking invoices, tracking the club finances and all associated (even better if you can input to something like MYOB but not essential).

Just means the financial reports need to be prepared by someone other than the Treasurer. So Tony can do that or can just pay another accountant/firm to do it. Not a huge expense, SAU-Vic has been lucky for a long time having a accountant as a Treasurer - so it's been something people have done as part of the role.

A lot of that can be automated with Xero or similar. (MYOB seem to be in catchup mode!)

    • Hello!  i just finished manual swaping my r34 skyline with a r33 rb20de box(RB71C)box  When the car is running it squeaks crazy loud and it was smoking from the gearbox area. The gearbox is fine it was tested. The clutch slave cylinder seems like it doesn't fully releases the clutch. I want to ask if this noise is from the throw out bearing or could it be the clutch assembly or disk att.xFliq87Gzw6kImKBVqDebXkj0fBqymk0JaYeP3_3SlM.mp4
    • A few small updates since the previous post and lessons. I decided to do a little interior light upgrade on the 110. I quite like the iilumo items, even if they're a bit of a premium over other brands. You'll also note the Stedi Fogs, that will go into the S15 fog lights as I needed to match the bulbs since I got the new ones earlier. I hope they fit as the body is quite a bit longer than your normal bulb.  Annoyingly, I managed to trip the fuse, which normally wouldn't be an issue until I located the fuse. I can't say I've ever come across this. I had lucked out that someone nearby had a spare, but oddly enough Toyota dealerships seem to keep this in stock. I ordered some to keep in my stash and as luck would have it, someone else nearby tripped the same fuse so I passed on the favour.  I also did a little service on the 110 ahead of some additional work coming up. It's been annoying that Goleby's stopped carrying this particular HKS filter for the 110, so now I need to keep them on order from Japan. I also took the opportunity to install a bash plate and number plate riser. The plate riser is such a cheap but nice fix to help really tidy up the car. I'm tempted to now also replace my headlights, on this car. Both items were from Project Aero.    I also needed to replace the rear tyres on the 110, and after trying to get it aligned learnt that I need to replace some bushes in the front end, so that's next.  Closing out this update with a nicer picture as always!
    • Yeah mate, never miss it.
    • Any going to watch World Time Attack at SMSP this year?
    • Appreciate the correction on the "ground", that will make a huge difference to looking at this. That makes complete sense about AF70/AF71 which is what I had come down to being the issue, one of these. I'll have another look in the ignition wiring when I get a chance next week. I'll also make up a jumper wire for running that AF73 test.  ECU is fine, relay itself is fine, pump harness is fine and the pump itself is fine. I am going to upgrade the Walbro 255 anyway with a DW300 I have since I need to replace the fuel sender and I'm going to upgrade the FPR with my chasebays kit ready for new plenum/injectors/dbw, but I'll get this working first. That's why this is so frustrating.
